Payment & Booking Terms and Conditions

At Vibrant Mobile Valeting and Vibrant Detailing, we value your time, trust, and commitment to maintaining your vehicle at its best.

To ensure fairness and transparency for all our customers, the following payment, booking, and cancellation policies outline how we manage appointments, fees, and changes.

By booking with us, you agree to these terms and conditions, which help us deliver a reliable and professional service every time.

1. Payment Terms

Private & Public Customers

Payment in full is required immediately upon completion of the agreed works, unless otherwise agreed in writing.

Trade & Business Customers

For trade or business-to-business (B2B) clients, payment is due within 7 calendar days of the invoice date.

Late Payments

If payment is not received within the agreed timeframes, a late payment fee may be applied in addition to the invoice total.

Persistent non-payment may result in recovery action, and the customer will be responsible for any associated costs.

2. Booking Fees & Confirmations

Booking Fee Requirement

A booking date is only secured and confirmed once a non-refundable booking fee has been received.

The booking fee is equal to 20% of the total cost of the reserved services or £100, whichever is lower.

Provisional Bookings

We can hold a provisional booking date for 24 hours without payment of the booking fee.

If the booking fee is not received within this time, the date will be released to other customers.

Deduction from Final Invoice

Any booking fee paid will be deducted from the final invoice total upon completion of the agreed works.

3. Amendments & Cancellations by the Customer

Amendments

You may amend your booking once without paying an additional booking fee, provided at least 8 calendar days’ notice is given before the original booking date.

Cancellations

If you need to cancel your booking, we respectfully require a minimum of 7 days’ notice.

• Cancellations made less than 7 days before the appointment will incur a 50% cancellation fee of the total reserved services.

• Cancellations made within 48 hours will incur a 100% cancellation fee.

• Once a booking fee has been paid and a date secured, any cancellation will result in forfeiture of the booking fee.

• A new booking fee will be required to secure future appointments following a cancellation.

Gift Voucher Bookings

If you are booking using a gift voucher (including those purchased, won, or received as a prize):

• Cancellations made within 7 days of the booking date will result in forfeiture of the voucher, up to 100% of its face value.

• A voucher booking may be amended once only, provided at least 8 days’ notice is given prior to the original booking date.

4. On-Site Requirements & Access

Location & Safety

Upon booking, you agree to make the vehicle(s) available at the agreed location, ensuring there is sufficient space and a safe, legal, and accessible working environment for our operatives.

Permissions

Where the appointment is at a site not owned or controlled by the customer, it is the customer’s responsibility to obtain all necessary permissions for us to carry out the agreed works.

Risk Assessment

A risk assessment will be conducted upon our arrival.

If the environment is deemed unsafe, unsuitable, or without proper permissions, the appointment will be considered cancelled, and a 100% cancellation fee will apply.

Access on the Day

If we are unable to complete the agreed works upon arrival — for example, due to no access to the vehicle or site — a 100% cancellation fee will also apply.

5. Payment of Cancellation Fees

All cancellation fees must be paid in full by 11:59 p.m. on the day the original booking was scheduled.

Payments made after this deadline may be subject to an additional late payment fee of up to the total value of the reserved services.

6. Amendments or Cancellations by Vibrant

We reserve the right to amend or cancel any booking with a minimum of 30 minutes’ notice where necessary.

While we strive for 100% reliability, circumstances may occasionally prevent us from completing the works as planned, including but not limited to:

• Equipment malfunction or breakdown

• Severe or unsafe weather conditions (e.g., heavy rain causing water ingress risk)

• Unforeseen health and safety concerns

In such cases, we will offer the earliest available alternative appointment at no additional cost.

7. Agreement

By making a booking with Vibrant Mobile Valeting or Vibrant Detailing, you confirm that you have read, understood, and agreed to all terms and conditions stated above.

Continued bookings or payments after updates are published will constitute acceptance of the revised terms.
